ORGANIZATIONAL BACKGROUND

The mission of the Organic Farming Research Foundation (OFRF) is to foster the improvement and widespread adoption of organic farming systems. Since our founding in 1990, OFRF has sponsored organic farming research, education, and outreach to support organic and transitioning farmers across North America. This work is complemented by efforts to share our findings with policymakers, agricultural institutions, and federal agencies that can use the results to implement broader change and advance the sector. OFRF envisions a future where organic farming is the leading form of agriculture.

POSITION OVERVIEW

The OFRF Operations Associate is a full-time, benefited, non-exempt position. While candidates based in Santa Cruz, CA, are strongly encouraged to apply, this position has the ability to work remotely within the continental USA.

The Operations Associate is responsible for overseeing day-to-day functions of the organization to ensure efficient and effective processes by providing specialized administrative support, overseeing and maintaining secure IT systems, as well as assisting with human resources, bookkeeping, development, and data entry procedures. This position reports to the Deputy Director.

ROLES AND RESPONSIBILITIES

Administration & Human Resources

  • Assist Deputy Director with maintaining procedures, templates, schedules, and policies.
  • Assist with various administrative tasks and reporting, such as managing notices received by mail, business filings and licenses, lease agreements, responding to state notices, payroll reporting, managing contracts, and others as needed.
  • Coordinate employee onboarding and offboarding.
  • Provide event logistics and travel support for OFRF events.
  • Coordinate remote staff gatherings and incorporate creative ways to build morale and connect in a remote work environment.
  • Oversee intern or work-study student(s).
  • Support mailing projects as needed.

Bookkeeping

  • Regularly file donations, receipts, invoices, contracts, and month-end statements.
  • Assist with reconciliation each month, including timecards, credit cards, accounts payable, QuickBooks, and CRM database.
  • Monitor and reconcile third-party accounting integrations on a regular basis.
  • Process staff reimbursements, invoices, and credit card payments regularly.
  • Manage donation entries in the database and reconcile with QuickBooks monthly.
  • Monitor subscriptions and other expenses to ensure accuracy, efficiency, and that we are receiving the best possible rates.

Development

  • Assist with entering donations and sending donor acknowledgments.
  • General grant administration support, maintaining documentation, and database entry.

IT Support

  • Maintain OFRF’s digital files and regularly organize OFRF Shared Drive.
  • Monitor technology, security, and data settings, including user access, roles, profiles, permissions, list updates, and subscriptions across various OFRF IT systems.
  • Manage and maintain equipment inventory, assist with purchasing, and coordinate staff IT requests and support for OFRF equipment and programs.
  • Respond to tech needs of staff, serve as point person for IT contractors, and oversee tech roadmap to enhance systems and security.
  • Assist with organizational scheduling, meeting logistics, and remote event IT support and troubleshooting.

SKILLS AND QUALITIES

  • Commitment to the mission, vision, and values of OFRF and an interest in the improvement and widespread adoption of organic farming systems.
  • At least 5 years of experience in a similar position that has required critical thinking, good judgment, meeting deadlines, and problem-solving.
  • Excellent organizational and communication skills and the ability to work independently and as part of a team.
  • Dependable and responsible with strict attention to detail, accuracy, and timeliness.
  • Ability to maintain confidentiality when working with finances and human resources.
  • Proven experience with IT management and an interest in technology systems.
  • Experience working and communicating collaboratively in a remote setting using Google Suite and project management software (experience with Asana preferred).
  • Demonstrated proficiency with Excel, intermediate-advanced preferred.
  • Proficiency with MAC and PC computers.
  • Intermediate to advanced Excel experience preferred.
  • Database experience preferred.

COMPENSATION and BENEFITS 

Starting salary is between $56-63k, depending on experience. OFRF offers a competitive benefits package and a great work environment with lots of flexibility. For candidates based in Santa Cruz, California, location-based cost of living will be factored into salary determination.
